Description

Position Summary:

Provide administrative support to the Human Resources team. Areas of support will include, but are not limited to, onboarding, recruiting, data and records maintenance, as well as special projects as assigned.

Essential Job Duties and Responsibilities: (Additional duties may be assigned)

  • Be the first point of contact for the Human Resources Department and the Company. Direct incoming calls and day to day questions to the appropriate Company personnel or members of the Human Resources Department.
  • Provide administrative support to the members of the Human Resources Department and/or employees of the Company.
  • Provide assistance with scheduling meetings, interviews, training, events and other administrative tasks.
  • Coordinate and facilitate the onboarding of new employees.
  • Assist the director of Human Resources with Recruiting:
    • Communicate with Hiring Managers and the Director of Human Resources to determine candidate and job posting requirements for exempt and non-exempt positions
    • Post jobs to appropriate websites and agencies in an effort to provide the best candidate flow while maintaining compliance with federal and state requirements
    • Proactively research and creatively utilize various sources to increase candidate flow
    • Manage job postings and candidates via Payroll Hiring Portal, as well as via other sources of tracking methods created by the Department
    • Provide supervisor and internal customers updates on recruitment activities and status
    • Ensure all jobs posted to internal/external websites are appropriate, consistent and compliant
    • Manage the candidate flow between Payroll Hiring and management
    • In conjunction with Director of Human Resources, conduct phone screens to determine suitability for advancement in the candidate pipeline
    • Coordinate and schedule in-person interviews for management when requested
    • Conduct candidate reference checks
    • Close job when filled and manage dispositioning of candidates by sending letters to all candidates
  • In conjunction with the Direct Marketing Manager and Director of Human Resources, maintain a social media recruiting strategy that will attract top-talent candidates to the Company:
    • Identify relevant positions to engage in social media job posts
    • Source candidates through a variety of web-based platforms
    • Identify and participate in niche groups for targeted candidate sourcing
    • Gather data from Direct Marketing Manager in the areas of social media performance in the recruitment area and make recommendations for participation in appropriate channels
  • Responsible for the verification of new hire paperwork and filing of employee records while ensuring accuracy, completeness and compliance with company standards and federal, state and local regulations.
  • Responsible for the maintenance and accuracy of all employee personnel, and I-9 files.
  • Assist in the management of the Employee Wellness Program-Blue 4 You coordinated in conjunction with Interactive Health.
  • Conduct research manage projects and create internal communications.
  • Assist the Director of Human Resources in the administration of employee recognition programs and culture boosting initiatives.
  • Support and collaborate with the HR team to design/deliver targeted HR initiatives.
  • Receive and deliver daily mail to the appropriate member of Company.
  • Maintain office supplies and order supplies as appropriate.
  • Understand and comply with Company policies, as well as state and federal laws and regulations as they relate to the job duties.
  • Stay current with state and federal laws and regulations as well as changes to Aurora Holdings policies and procedures.
  • Assist with additional tasks and projects, as required.

Supervisory Responsibilities:

This position does not have any supervisory responsibilities.

Qualifications

Education and Experience:

* High School Diploma, AS or BS Degree in Business or Human Resources desired

* One to three years of office administration, experience in a human resources office is a plus

* Microsoft Office 365 skills including expert level Microsoft Word and Excel

* Requires strong organization skills, attention to detail and the ability to prioritize and work in a fast-paced environment

* Computer proficiency including word processing, data entry, spreadsheets, and generating reports using standard software applications.

* Analytical ability to gather and summarize data, find solutions to various administrative problems, and prioritize work.

* Ability to work independently, investigate problems, initiate solutions, work under deadline constraints, and manage multiple tasks.

* Strong verbal and written communication skills including sensitivity and ability to work with confidential information.

* Strong organizational skills including the ability to manage multiple projects and details simultaneously.

* Excellent attention to detail.

* Ability to develop and maintain recordkeeping systems and procedures.

* Ability to create, compose, and edit written materials.

* Ability to maintain a high-level of professionalism.

* Ability to multitask and good time management skills required.

Computer Software: Outlook, Word Excel, and PowerPoint

Physical and Mental Requirements:

* Ability to sit, stand, walk, talk, hear, reach, push, pull, lift, crouch, kneel, bend, climb stairs, use fingers to grasp, handle, feel, and perform repetitive motions of hands or wrists.

* Exerts up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

* Close mental and visual attention required to perform work dealing primarily with preparing, analyzing, and interpreting data and figures, using a computer terminal, and/or extensive reading.

Environmental Conditions:

Work is performed in a typical office environment with occasional exposure to falling when climbing ladder.
